The International Conference on Youth (ICOY) is organized through a rotating host institution model that enables institutions from different regions to host the conference while maintaining its global identity, standards, and governance framework. This model supports the expansion of ICOY’s international presence, encourages cross cultural collaboration, and strengthens partnerships between institutions working in the field of youth development.
Each edition of ICOY is conducted in coordination with the Ahmedabad Centre for Research and Innovation, which ensures continuity, consistency, and adherence to the principles and objectives of the conference.
ICOY welcomes applications from institutions that demonstrate the capacity to organize an international conference. Eligible institutions may include universities, colleges, research institutes, youth development organizations, academic bodies, and non profit organizations engaged in areas related to youth, education, policy, or social development.
Institutions applying to host ICOY should have the necessary infrastructure, organizational capability, and commitment to uphold the standards and values of the conference.
The host institution is responsible for the operational planning and execution of the conference. This includes organizing the venue and facilities, managing logistics, coordinating the conference program, and ensuring effective communication with participants.
The host institution is also responsible for participant registration, coordination with speakers and panelists, and the overall implementation of the conference schedule. All activities must be conducted in accordance with the ICOY Charter, official guidelines, and the hosting agreement established with the organizing authority.
While the host institution manages the operational aspects of the conference, ICOY provides institutional support and oversight. This includes maintaining the official identity of the conference, providing digital infrastructure such as the official website and domain, and ensuring that each edition aligns with the established governance framework.
The Ahmedabad Centre for Research and Innovation serves as the institutional authority responsible for guiding the conference, maintaining standards, and ensuring continuity across different editions.
Institutions interested in hosting ICOY are required to submit a formal application outlining their capacity to organize the conference. The application should include details about the institution, the proposed organizing team, available facilities, and the overall plan for hosting the event.
Applications are reviewed in accordance with the established governance process, and the selection of the host institution is based on factors such as organizational capacity, infrastructure, experience, and alignment with the objectives of ICOY.
The hosting process follows a structured timeline to ensure adequate preparation and coordination. Applications to host ICOY are typically submitted by mid March. The evaluation and selection process takes place between March and April, after which the selected host institution is formally announced.
The conference is generally held between June and December of the hosting year, allowing sufficient time for planning, coordination, and international participation.
All host institutions are required to operate in accordance with the ICOY Charter, which serves as the primary governance framework for the conference. The Charter defines the principles, responsibilities, and standards that guide the organization and conduct of ICOY.
Institutions that share the vision of promoting youth development, collaboration, and global dialogue are encouraged to apply to host ICOY. Hosting the conference provides an opportunity to contribute to an international platform, engage with a global network, and support the advancement of youth focused initiatives and discussions.
